September 9th, 2009 Meeting Minutes

1 EP Call to order
2 EP Approval of last month's minutes - Minutes accepted.
3 DR Financial statement - $14,421.56 = Total equity and liabilities balance -- (see 2 attachments, balance sheet summary as of 091109 and profit and loss standard Jan - Sept 2009). Financial statement accepted.
4   ASBF-09
  JD Final line-up in place. Atomic Duo and Big Jug Band will be removed, both declining to participate. Workshops 99% completed. All lists (workshops, line-up, minisets) to go to SR for website by Tuesday, 091509 even if not totally confirmed. Workshop times not made known to participants yet.
  JD looking for person for stage go-to person Saturday evening. CF and Renee Hopkins volunteered to help with these duties. Tom Pittman, Dan Foster and Dave Obermann will be MCs for Friday and Saturday.
  SR Offered to put AFTM business cards together. She will send the board a draft with details. Logo, address, phone (EP's #), 501c non-profit organization run by volunteers.
  DR $500 deposit for insurance for ASBF. 2nd $500 check on last day of event to be collected by insurance representative. Camp Ben asked to be listed as separate line item on insurance policy.
  EP Four food managers asked for T-shirt as "something extra" for their services. Board approved this action.
  Contracts to go out to bands week of 091409.
DR would like to have contact for each band within a week of festival.
  DR Website links for all bands needed ASAP.
  Publicity - HR bumper stickers
1000 stickers, .50 each - 4.5 inches in diameter; Board approved an expenditure of up to $536.00. Festival stickers vs. AFTM general stickers discussed. Festival stickers were decided on for this run. To be sold for $1.00 each and included with new memberships.
  Needs tax exempt # - get it from DR.
Posters and bumper stickers will go to printers the week of 091409.
  Motorblades will distribute 2 weeks before. Less than $100 cost to Motorblades. Local blogs will be hit. Renee Hopkins to help set up AFTM Twittering. Board approved an expenditure up to $100.
  Fox news, Ch. 2 - Christy and the Plowboys promotional. CF will get more details from JD and Bruce Gardner and confirm soon.
  HR Ads not worth it for a one time printing in Chronicle. May look into electronic ads. Renee Hopkins talked about ads for FB, Twitter, etc. RH and HR will look into this. No articles in newspapers? KUT and KOOP calendars should be done ASAP. New folk music show on KUT. Should ask Ed Miller on first show (10/13) to promote festival. Also should ask Kevin Conner (KUT) the same.
  EP to put the CD together for radio spots.
  KOOP live performance - Oct. 12 at 11:00 am (Christy & the Plowboys and Elizabeth Pittman).
  HR Regarding T-Shirts - Olive green initial color selected. EP suggested a medium blue since last year's color was a green. HR and EP will get together and order them. Board approved ordering festival T-shirts.
  HR Southwest Regional Folk Alliance - Sept 23 - 27, 2009. Bruce Gardner will be asked to distribute ASBF flyers there. AFTM to pay fee for whoever goes if necessary. HR and RH to get together to determine who will be able to attend.
5 TW Stairwell Sisters. Still looking into venues. Fiddler's Green too small. $1000 is fee for Stairwell Sisters. TW will check with Central Market and Cactus Café.
6 CF Ruta Maya has offered to have an AFTM open mic event, once a month. AFTM would be responsible to pass the hat and collect a $12/hour fee for the sound man provided by Ruta Maya. Have communicated to Michael Collins of Ruta Maya that AFTM is interested and waiting for specific date - whether it be a Saturday or Sunday from Ruta Maya. Will need to advertise this and suggested to Michael that after the festival might be the best time to try this out. KT mentioned we should ask for an early evening time, 4 - 7 pm. Details on rules, sign-up, etc. to be determined.
7 DR Will get with Dougherty Arts Center to proceed with contract agreement on 0914 or 091509 for MidWinterFest 1/23/2010.
8 EP Patsy's Cowgirl Café - October already booked and would like to book AFTM bands in November.
9 TW Working out details for AFTM bands to play Cactus Café and Central Market. Possible November 14 date - Ralph White opening for Rattletree Marimba band.
10   Other business
  EP Sharon Isaac has volunteered to attend workshop on OEG (Odyssey Events Group) Austin Fundraising Conference held at the Holiday Inn NW. Board voted and approved up to $169.00 registration fee for SI to attend on October 21, 2009.
