| A bands final list was submitted by JDF. | ||
| Workshops & mini workshop final list will be submitted by JDF in a month or so. Possibly will be about 15 workshops. Workshops will start at 10:00am and finish at 1:00pm. Last year there were 13 workshops. | ||
| JDF | Possible minisets: Vanessa Gorden Lenz kids Celtic group, Precious Blood (Amy and Ralph White), Border Blasters, Old Holdouts, Howard Rains, Buffalo Bayou Boggers (old-time banjo music), Trent Wolfe, Grass Onions | |
| JDF | will confirm with Tom Duplissey about how to work together with CTBA. Hank Harrison from TVA will announce the ASBF on his radio show and email his list. Could contact the Bay Area Bluegrass Association and an association in Dallas. | |
| Payments are $2,500 for Lounge Lizards, $500 for the Wrights and $300 for everyone else. | ||
| Workshop leaders get free entry that day and a meal ticket. Main stage performers get a weekend pass to the festival. | ||

| EP | volunteers. Are there enough volunteers? Total of 40 volunteers. Trying to make a long enough shift to give them a weekend pass. Would like to post it soon on the website. | |
| Admission price to be the same as last year. Friday only $15; Saturday only $25 ($20 AFTM members); weekend $35 ($30 AFTM members); Children under 18 Free; College student with id Friday only $5, Saturday only $20, weekend $25; primitive camping $10, camping with electric $15 | ||
| HR | publicity plan. Main push will be 6 weeks prior to the festival. Trying to get live spots on the radio for the main groups (Lost Pines, Milk Drive). Paid ads on KUT. KUT calendar, will set up a Twitter account and Craigslist. Final flyers will be out soon. DR to send out some photos to HR to use for the press kit. Will hire someone to distribute flyers around town. Need to print flyers to give to other bands and for AFTM board members to handout. Will get the 50 free posters from Ginny's. SWRFA will be in Austin September 24 – 27th and AFTM should have a presence there. | |
| EP | T-shirts. Will have t-shirts for ASBF. HR recommends using the same color scheme as the poster (olive green). HR & EP will look at catalog and order t-shirts. | |
| DR | inclement weather insurance. Board agreed that the inclement weather insurance wasn't worth it. Will put rain or shine on our publicity handouts and posters. EP will look into rain shelters that are big enough to have a workshop in. | |

| 5 | DR | Mid-winter festival contract is uncertain? We should sign the contract soon in case we are moved from the Dougherty Center |
| 6 | JDV | Wassail, to be held on Dec 20, 2009 (a Sunday, on winter solstice eve). |
| 7 | EP | Stairwell Sisters, March 26, 2010 AFTM underwritten. Haven't found a good venue yet. |
| 8 | EP | Ruta Maya open mic. Sunday would be preferred but Saturday is all that is being offered. Can pass the hat to get the money for the sound or AFTM can subsidize if we don't get the $12. AFTM would like to support this. |
| 9 | EP | Bolivian concerts, Sept, Oct 2009 AFTM? AFTM too busy in the fall so maybe sometime after the ASBF is over. |
| 10 | EP | house concert, firm, Jan 16, 2010, Cosy Sheridan, not AFTM event. |
| 11 | EP | possible house concert, mid March 2010, VanNortstrand Bros, AFTM (or Great Bear Duo/Trio). EP thinks she will be able to do this as an AFTM house concert. |
| 12 | EP | African/Ghanaian group (30 people) wants to do a concert. Interested but we can't offer them any money. |

| 14 | SI | Will put together a Membership packet for new members and send out an email every month about the meeting and the jam. SI, DR & SR will get together for the membership packet. EP will send out a yearly report from AFTM. |
