April 19, 2009 Meeting Minutes

| It was determined that we actually did make a profit on the mid-winter
festival in February, though not as much as we would have liked. Net
income from January 1 through April 19, 2009 total as well as the Balance
Sheet Summary as of 4/19/09 attached. Insurance for special events as well as String Band Fest, Fire Ant Frolic, Mid-Winter Fest and Dance in the Park was discussed. Dale will be shopping around for the best policy to run for a year starting in May 2009. He will email findings to the board. AW Asked about contract policy for bands if event is cancelled. EP will send out the current contract used for bands to the board via email. TW asked if we should have a "cushion" of funds that AFTM should not go below in budgeting for events. A $5,000 - 7,000 figure was agreed upon in a past meeting for this purpose. DR Membership was discussed. Should we raise the membership levels since they haven't changed in 20 years. It was determined that our dues are lower than the Central Texas Bluegrass Association's dues. Discussion on raising membership fees to be further discussed in future - whether economy picks up or not.HR remarked on "non-conformist" attitudes of some Rio Rita jam attendees to not join organizations such as the AFTM. Tom Duplissey, President of the CTBA attended meeting and discussed the survey recently sent to their membership. CTBA is interested in collaborating with AFTM and all parties in agreement on this. House concerts. Last concert (Rafe and Clelia Stefaninni) was sparsely attended with only 8 AFTM members in attendance (1/3 of the total attendees). $200 per band guarantee will stay in force for now. Cover charge for AFTM members will remain the same.? |

| Preferred dates for MWF '10 (all Saturdays): 1/23/10 (2nd pref.), 1/30/10 (1st pref.), 2/6/10 (3rd pref.)Dougherty Arts Center is secure for 2010 unless we find another location more suitable for our needs. DR will look into organizing a tour of Carver Museum for board members interested in checking it out for MWF 2011 and will send out possible dates/times for the tour via email. Other possible sites to be investigated: School for the Deaf (AW will follow-up). St. Edwards University (Austin Jazz group just used recently) CF will ask Tom Strauss or Dave Stoddard for info. | ||

responded YES, they will play: Electric Rotten Apple Mountain Gang Red 7s The Wrights Christy and the Plowboys The Austin Lounge Lizards - tentative The Big Jug Band Hog Eye There is a list of other bands to be asked as well. EP will inquire about getting Pink Sound to do the sound on Friday and Saturday. Monitors needed for bands on both nights. Management responsibilities Stage/backstage - AW and SI Workshops - ask Ellen Stansell? Front gate - DR Merchandise/auction - ask Renee Callahan? Signs - TW Bands - JD Food - EP (tentative), Sarah Weber? Inclement weather insurance? DR will look into this when he's shopping for insurance companies. KT mentioned that Einstein's Bagels supports non-profit organizations and AFTM can write a letter at least a month in advance to get a 30-40% discount on food items. HEB will also provide discounts to non-profits with advance notice. AW mentioned that we should ask for "gift cards" to purchase the goods as opposed to accepting a donation of food - a better deal for us. |
| 7. | Other business: Spam from Yahoo group site experienced by several board members. SR will look into making adjustments to remedy this. Also brought up AFTM business cards. |

NOTE: Next month's Board Meeting will be May 10 (Mother's Day). It was decided to have the meeting anyway on Mother's Day.
