  1. EP Call to order
  2. EP Approval of last month's minutes -Minutes accepted.
  3. DR Financial statement - sent out by DR and attached.
  4. Mid Winter Festival 2010
    • Suggested band list for MWF was discussed.
      • Raising Jane - can do a long set. Have variety of tunes and vocals. Andrea Katz, contact.
      • Slavadillo Band - CF will ask Los Klezmeros - discussion …many questions arose, small band, what instrumentation, on the list, asked to play for an AFTM event, sent a press package and CD.
      • HR - African and Pakistani waiting to hear from.
      • Bluegrass band - (JD will ask Tom D?) (Jenni & Cornponies - also has a bluegrass band, CF is waiting to hear) Board agreed that it is O.K. to have two bluegrass bands at MWF
      • JD will follow up on Pine Beetles Nancy, Robert and Rose - not confirmed
      • TW - Anyone inquiring to bands, do not make a firm commitment. Send to Tim for formal request.
      • JD - Not sure Sacred Harp Singers will play. No response
    • DR - Combo Mahalo has asked to be involved with MWF WORKSHOPS
      1. Ellen Briggs Stansell- old time jam and beginner claw-hammer workshop and old-time singing (offered any or all)
      2. Steve Mangold - beginner Bluegrass Jam
      3. Sharon Isaac - Flat-foot clogging
      4. Shape Note Singing
      5. Mark Gilston - Dulcimer
      6. Ukulele Workshop (CF will ask John Stansel and/or Brian Rise)
      7. Fiddle Workshop?
      8. Children workshop, singing? (CF will make some inquirees)
      9. Keith Tuxhorn - offered to teach Waltz Workshop, a live band would be nice to have. KT will ask around for help with this.
    • EP - NOTE: Performers only allowed in Green Rooms for two hours - 1 hr before and 1 hour while on stage, add to signs on green room doors.
    • SOUND EP -Roy asked and has accepted to do the sound for same price he did last year (2009).
    • LIGHTS JD volunteered to work the lights. Beth Kerr has volunteered to help.
    • STAGE MANAGER and GREEN ROOM coordinator SI volunteered. Same budget for Green Room?
    • SIGNS TW will handle. Workshop signs…Name and time on signs requested for each room. Send specific text to Tim for sign-making for workshops, outdoors, etc.
    • ADMISSIONS DR - Same as last year. $15 and $12 /AFTM member, children 12 and under free.
    • PUBLICITY HR and Trey Hatt - Nothing to report yet. Radio and print advertising. KOOP and KUT Radio to be approached. Both radio stations can do more advertising with more advanced notice. KOOP has 501c3 non-profit obligation to help out other non-profits.
    • KITCHEN AND FOOD SERVICE EP - Nothing to report. EP will ask for volunteers and will purchase the food as she did last year.
    • AW - Suggested something (goodies to eat) for volunteers? A box of cookies or something? Whoever is in charge of area - feel free to bring food for their volunteers
    • MERCH and AUCTION EP - Have not found anyone to do yet. DR will do both Admissions and Merchandise if necessary.
    • VOLUNTEER RECRUITMENT/VOLUNTEER PLAN EP - Wants to add time to the shifts. Last year had too many volunteers with short shifts. EP will send Volunteer request to Sharon Rempert to do an e-mailout to membership and Reel Times lists as well as broadcasting on the Yahoo site.
    • GET SOME DONATION JARS THIS YEAR TO PUT ON STRATEGIC TABLES (Merchandise and silent auction areas)
    • DR - Rental of Dougherty Arts Center officially starts at 12 noon, but we can get in at 9:30 or 10:00 am. Go until 8 pm officially - take 4 hours for clean-up.
    • JD - Suggests we end earlier rather than later, so we aren't there cleaning up till midnight or 1 am.
  5. Upcoming Events:
    • TW - Jan 30 AFTM showcase line up at Central Market (north) is: - Big Jug Band (not confirmed - CF will find out) - 1001 Nights (confirmed) - Rattletree Marimba Trio (confirmed)
    • AFTM showcase -- sometime in April at Ruta Maya: Ralph White Joel from Rattletree plays Kalimba Daniel - Burundi refugee kalimba player
  6. Other business
    • EP -RE: Ruta Maya and December 26. Who will be attending? DR/SR volunteered to be hosts.
    • CF - Ryan Gould has asked about a Virginia Tichenor, Ragtime Piano possible house concert through AFTM in early May 2010?
    • EP says more info needed- are there vocals as well as instrumentals? Not interested if only instrumentals involved. Will get info and report back when known.
    • KT - Great Bear Trio is coming through Austin and is interested in doing a house concert, either Thursday 3/11 or Friday, March 12, 2010
    • DR - AFTM will try to book the Dance in the Park (Zilker) on 4th Sunday in March 2010.
    • John Fine, AFTM member sat in and had possible info regarding use of parking garage next to the old Filling Station for MWF, his email is jeverettfine@yahoo.com and offered to look into this for us.
